Acceptable Use Policy

1. Introduction
This Acceptable Use Policy ("AUP") sets out the rules and guidelines for using the RentSure platform and services. This policy forms part of, and should be read in conjunction with, our Terms of Service.
By using our Service, you agree to comply with this AUP. We may update this policy from time to time, and your continued use of the Service constitutes acceptance of any changes.
References to "we", "us", "our", or "RentSure" mean RSure Ltd. References to "you" or "your" mean the user of our Service.
2. Prohibited Activities
You must not use the Service to engage in any of the following prohibited activities:
2.1 Illegal Activities
- Using the Service for any unlawful purpose or in violation of any applicable laws or regulations
- Engaging in discrimination against tenants based on protected characteristics under the Equality Act 2010
- Facilitating money laundering, fraud, or other financial crimes
- Evading tax obligations or assisting others in doing so
- Breaching data protection laws, including the UK GDPR and Data Protection Act 2018
2.2 Data Misuse
- Scraping, harvesting, or collecting data from the Service without authorisation
- Uploading false, misleading, or fraudulent property or tenant information
- Sharing, selling, or distributing tenant personal data without proper authorisation
- Using tenant data for purposes beyond property management
2.3 Security Breaches
- Attempting to access another user's account without authorisation
- Bypassing, disabling, or interfering with security features of the Service
- Introducing malware, viruses, or other malicious code
- Conducting security testing without our prior written consent
- Exploiting vulnerabilities rather than reporting them responsibly
2.4 Service Abuse
- Overloading or attempting to disrupt the Service's infrastructure
- Using automated systems, bots, or scripts without our written permission
- Circumventing usage limits, rate limits, or access restrictions
- Creating multiple accounts to evade enforcement actions
2.5 Content Violations
- Uploading defamatory, libellous, or maliciously false content
- Uploading obscene, offensive, or inappropriate material
- Uploading content that infringes intellectual property rights
- Uploading discriminatory or hateful content
2.6 Impersonation & Fraud
- Misrepresenting your identity, authority, or affiliation
- Impersonating RentSure staff or other users
- Creating fake properties, tenancies, or compliance records
- Forging or falsifying compliance certificates or documents
2.7 Commercial Abuse
- Reselling, sublicensing, or redistributing the Service without authorisation
- Using the Service to develop competing products or services
- Reverse engineering, decompiling, or disassembling the Service
3. Content Guidelines
All content you upload, create, or share through the Service must:
- Be accurate, truthful, and not misleading
- Relate to legitimate property management purposes
- Comply with all applicable laws and regulations
- Respect the rights and privacy of others
- Not contain confidential information of third parties without proper authorisation
You are solely responsible for ensuring the accuracy of property listings, tenant information, compliance records, and financial data you enter into the Service.
4. Account Usage
- Each account is for a single user only and must not be shared
- You are responsible for all activity that occurs under your account
- You must keep your login credentials confidential and secure
- You must not allow others to access your account
- Automated access is only permitted with our prior written consent
5. Security Requirements
To help maintain the security of the Service and protect your data, you must:
- Use a strong, unique password for your account
- Enable two-factor authentication where available (strongly recommended)
- Keep your devices and software up to date with security patches
- Log out of shared or public devices after use
- Report any suspected security incidents to us immediately at security@rentsure.com
6. Communication Standards
When using the Service to communicate with tenants or other parties, you must:
- Communicate professionally and respectfully
- Not use the Service to harass, threaten, or intimidate anyone
- Not send unsolicited marketing or spam communications
- Comply with applicable regulations regarding tenant communications
- Use accurate and non-misleading information in all communications
7. Compliance Obligations
While RentSure provides tools to help you manage compliance:
- You remain solely responsible for ensuring your properties and tenancies comply with all applicable laws
- You must not rely solely on our compliance reminders and must independently verify all legal requirements
- You must not use the Service to create a false impression of compliance
- You must maintain accurate and up-to-date compliance documentation
- You must not misuse compliance features to deceive authorities, tenants, or other parties
8. Reporting Violations
If you become aware of any violation of this AUP, please report it to us immediately:

- Include as much detail as possible about the alleged violation
- Provide any supporting evidence where available
We will not retaliate against anyone who reports a violation in good faith, and we will take reasonable steps to protect the identity of reporters where appropriate.
9. Monitoring & Investigation
We reserve the right to:
- Monitor use of the Service for compliance with this AUP
- Investigate reported or suspected violations
- Access and review your account activity when investigating violations
- Cooperate with law enforcement and regulatory authorities
- Preserve data as required for legal proceedings
You agree to cooperate fully with any investigation into suspected violations, including providing information and access as reasonably requested.
10. Enforcement Procedures
We apply a graduated response to violations, taking into account the severity and circumstances of each case:
Level 1: Warning
- Written notice of the violation
- Requirement to cease the prohibited activity immediately
- Guidance on how to comply with the AUP
Level 2: Temporary Suspension
- Account suspension for 7 to 30 days
- Requirement to provide a remediation plan
- Review before reinstatement
Level 3: Permanent Termination
- Permanent account closure
- Data retained only as required by law
- No refund of subscription fees
Emergency Action
We may take immediate action, including suspension without prior warning, where we reasonably believe there is an imminent threat to the security of the Service, other users, or third parties.
11. Consequences of Violation
Violation of this AUP may result in:
- Removal of content that violates this policy
- Temporary or permanent suspension of your account
- Termination of your subscription without refund
- Legal action where appropriate
- Reporting to law enforcement or regulatory authorities
- Preservation of data for use in legal proceedings
You may appeal enforcement decisions by contacting us at appeals@rentsure.com within 14 days of the action. Appeals will be reviewed by a senior member of our team who was not involved in the original decision.
